Few cities make a stronger case for your next conference than Prague. In the latest ICCA ranking, covering 2025, it placed 6th out of 4,728 cities worldwide for international association meetings.
It also handles scale. In 2025 Prague hosted more than 50 congresses, conferences and corporate events with over 1,000 attendees each. They included the ESPEN clinical nutrition congress, with more than 4,700 delegates, and the World Congress of Psychiatry, which drew over 3,400 experts from 117 countries.
Here is how to plan a conference in Prague, whether you expect 150 delegates or 1,500.
Why conferences choose Prague
- Access: Václav Havel Airport Prague served 194 destinations with 84 airlines in 2025, including long-haul routes to North America, the Gulf and East Asia.
- A compact centre: many hotels, venues and restaurants are a short walk or tram ride apart.
- Venue variety: purpose-built congress halls, conference hotels and historic palaces for receptions and gala dinners.
- Value: hotel and catering costs generally come in below Western European capitals such as Paris or London.
- Appeal: delegates want to visit Prague, which helps registration numbers.
Match the venue to the event
| Venue type | Best for | Prague examples |
| Congress centres | Multi-track congresses of 1,000+ delegates, often with exhibitions | Prague Congress Centre, O2 universum |
| Conference hotels | Corporate conferences where delegates stay on site | Hilton Prague, Clarion Congress Hotel Prague |
| Historic venues | Smaller plenaries, receptions and gala dinners | Municipal House, Žofín Palace, Lobkowicz Palace |
Room capacities vary widely within each venue, so check floor plans against your seating style (theatre, classroom or banquet) before you shortlist.
Prague Congress Centre is growing
Prague Congress Centre (PCC), the city’s main congress venue, began building a new exhibition hall in June 2026. It adds 5,000 m² of multifunctional space, with completion planned for 2028.
The goal is to win large international congresses that Prague previously had to turn down for lack of space. If you are planning a large association congress for 2029 or later, ask about the new hall now. PCC sits beside Vyšehrad metro station on line C, a few minutes from the city centre.
Pick your dates strategically
- April to June and September to October are peak months, with the highest hotel rates and the most competition for venues.
- January to March and November usually offer better availability and pricing.
- July and August are quieter for business events, but leisure demand keeps central hotels busy.
- December brings the Christmas markets, a festive atmosphere and higher rates in central hotels.
Before you commit, ask whether a major congress or trade fair overlaps your dates. One city-wide event can absorb thousands of hotel rooms.
Book early enough
Large association congresses often secure Prague venues several years ahead. Corporate conferences of a few hundred people need six to twelve months, and more for peak dates. Hotel blocks should follow the venue booking quickly.
Plan delegate logistics in detail
- Airport transfers: Prague has no rail or metro link to the airport yet. Delegates use buses that connect to the metro, taxis, ride-hailing apps or pre-booked transfers, and speakers and VIPs should be met on arrival.
- Local transport: the metro, trams and buses share one ticket system. Consider including a public transport pass with registration.
- Hotels: keep delegates within one or two metro stops of the venue where you can.
- Visas: some non-EU delegates will need a Schengen visa, so send invitation letters early.
- Accessibility: check cobblestones, steps and historic buildings for delegates with mobility needs.
Build the social programme
The social programme is often what delegates remember most. A welcome reception, a gala dinner in a historic venue and optional tours for accompanying guests all keep people engaged.
Keep journeys between the conference and evening venues short. A 20-minute coach ride can easily become 45 minutes at rush hour.
Budget lines first-time organizers miss
- Venue hire for set-up and dismantling days, not just conference days
- Interpretation booths and interpreters
- Security, cloakroom and medical cover
- Meals and accommodation for staff and crew
- Czech VAT at 21%, if quotes exclude it
- Exchange-rate movements between CZK and EUR
Bring in local expertise
International organizers often pair their core team with a conference organizer in Prague who manages venues, hotels, transport and on-site staffing. Firms such as Prague Eventery work this way, tailoring each conference to the client’s goals rather than selling a standard package.
